Job Description: Legal Secretary – Property and Real Estate
Position Overview:
We are seeking a highly organised and experienced Legal Secretary to join our clients prestigious national law firm’s Property and Real Estate department in Sydney. As a Legal Secretary, you will play a crucial role in supporting our team of attorneys and ensuring the smooth functioning of the department. Your attention to detail, exceptional administrative skills, and familiarity with property and real estate legal processes will be essential to your success in this role.
Responsibilities:
- Document Management:
- Prepare, draft, edit, and proofread legal documents, contracts, agreements, leases, and correspondence related to property and real estate matters.
- Manage document version control, ensuring accuracy and completeness.
- Maintain organized and updated physical and electronic filing systems.
- Calendar and Appointment Management:
- Coordinate attorneys’ calendars, schedule appointments, meetings, and court appearances.
- Send reminders for important dates and deadlines related to property and real estate transactions.
- Manage and resolve scheduling conflicts effectively.
- Communication and Correspondence:
- Communicate professionally with clients, opposing counsel, courts, and other stakeholders.
- Handle incoming and outgoing calls, emails, and mail related to property and real estate matters.
- Assist in drafting routine correspondence and communications.
- Client Support:
- Provide excellent customer service by addressing client inquiries, updating them on case status, and maintaining a positive client relationship.
- Coordinate client meetings, gather necessary documents, and prepare meeting materials.
- Administrative Support:
- Assist attorneys with administrative tasks such as time entry, expense reports, billing, and invoice processing.
- Prepare and submit court filings, ensuring adherence to deadlines and jurisdiction-specific requirements.
- Manage travel arrangements and accommodations for attorneys when required.
- Research and Document Retrieval:
- Conduct legal research and gather information related to property and real estate cases.
- Retrieve case-related documents, records, and information as needed.
- Team Collaboration:
- Collaborate with attorneys, paralegals, and other support staff to ensure efficient workflow within the Property and Real Estate department.
- Assist in maintaining department-specific databases and tracking systems.
- Confidentiality and Ethics:
- Maintain strict confidentiality of sensitive client and case information.
- Adhere to ethical and professional standards in all interactions and tasks.
Requirements:
- Proven experience as a Legal Secretary, preferably with a focus on property and real estate law.
- Strong understanding of property and real estate legal terminology, processes, and documentation.
- Proficiency in using legal software, Microsoft Office Suite, and document management systems.
- Excellent organizational skills and attention to detail.
- Effective time management and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Familiarity with court filing procedures and deadlines.
- A diploma or certification in legal studies or related field is a plus.
