Insurance Legal Secretary

About the Role
An excellent opportunity exists for an experienced Legal Secretary to join a respected Sydney firm specialising in insurance law. This is a dynamic role supporting a busy team handling a broad range of insurance litigation matters. It’s ideal for someone with at least 3 years of legal support experience who enjoys working in a fast-paced environment and wants to develop further within the insurance law space.

Key Responsibilities

Legal & Administrative Support:
• Prepare and format legal documents, including briefs, statements, and correspondence
• Manage large volumes of documentation, including filing, scanning, and electronic matter management
• Assist with preparing court documents, subpoenas, and arranging service and filings
• Handle monthly billing, time recording, and expense processing

Diary & Matter Management:
• Coordinate schedules, arrange meetings, and monitor key dates and court deadlines
• Organise travel and appointments for fee earners as needed
• Maintain up-to-date client and matter files in line with firm protocols

Client & Team Interaction:
• Be a first point of contact for clients, insurers, and counsel
• Liaise with courts, experts, and other stakeholders on behalf of the legal team
• Provide day-to-day administrative support to ensure files progress smoothly

What We’re Looking For

Experience:
• At least 3 years as a Legal Secretary, ideally within insurance, personal injury, or general litigation
• Familiarity with court processes and an understanding of insurance-related terminology advantageous

Skills:
• Strong MS Office skills and experience with legal practice management software (e.g. Affinity, LEAP, FilePro)
• Excellent organisational abilities, with a keen eye for detail
• Fast and accurate typing, with the ability to handle dictation if required
• Capable of managing competing priorities and tight deadlines

• Able to handle confidential matters with discretion
